Key Responsibilities
To offer guests and visitors a warm and professional welcome to Naramata Centre during the registration process and while on site. This role operates under the supervision of the General Manager. The role works closely with the Operations and Program teams to ensure a seamless registration experience for guests.
Primary Duties
Greet and welcome on-site guests and visitors in a friendly and professional manner.
Provide accurate information about the organization, its services, programs, and facilities both in person and over the phone.
Manage visitor registration processes, including data entry, verification, and payment handling.
Handle group reservation inquiries and assist with event bookings.
Assist visitors with inquiries, directing them to appropriate personnel or resources as needed.
Maintain cleanliness and organization of the reception area.
Handle incoming calls and transfer them to relevant departments or individuals.
Manage incoming and outgoing mail and packages.
Coordinate with staff to address visitor needs and ensure seamless operations.
Follow security protocols and monitor visitor access to premises.
Uphold confidentiality regarding sensitive information and visitor records.
Provide marketing support by assisting with social media updates, promotional activities, drafting newsletters, and website content.
Secondary Duties
Assist with operational duties across various departments, including housekeeping, reception, kitchen, catering, grounds maintenance, and event coordination.
Coordinate onsite retreats and catering services as needed.
Skills & Experience
Excellent interpersonal and customer service skills.
Strong organizational abilities with attention to detail.
Proficient in computer applications for data entry and reservation systems.
Ability to maintain confidentiality and handle sensitive information professionally.
Ability to handle multiple tasks and prioritize effectively.
Comfortable using a variety of social media platforms - strong digital literacy skills.
Qualifications
Knowledge of reservation systems and office procedures is beneficial.
Prior experience working in hospitality or customer service.
Other Requirements
Ability to pass a Vulnerable Sector search.
Willingness to work on-site with a flexible schedule including evenings, weekends and statutory holidays.
